Privacy Policy

Proterate Team is an HR product: attendance, leave, payroll, and employee records. This policy explains what we collect, how long we keep it, and how it is deleted. It covers the marketing site, the Proterate Team web applications, and the TeamPro mobile app.

Who is responsible for your data

When an employer uses Proterate Team to manage its staff, that employer is the data controller for their employees’ records. Proterate Team acts as the data processor and handles that data on the employer’s instructions. If you are an employee and want your records corrected or removed, contact your employer first.

What we collect

• Account details. Name, work email, company name, and role, provided when an account is created or invited.
• Check-in records. A selfie taken at check-in and check-out, the device’s GPS coordinates and accuracy at that moment, the timestamp, the assigned worksite, the computed distance from that worksite, and any reason text the employee enters.
• Employee profile. Details the employee or their employer enters: title, phone number, personal email, address, date of birth, gender, marital status, nationality, tax ID, and emergency contact. The employer also records employment details such as position, salary, and bank account for payroll.
• HR records. Leave requests and attendance corrections, payslips, expense claims and photos of their receipts, benefit enrolments including dependents’ names and dates of birth, documents uploaded by or for the employee, equipment assigned to them, onboarding and offboarding tasks, performance reviews, and the comments written on requests and reviews.
• Device data. A push-notification token for each device the employee signs in on, removed when they sign out. Fingerprint and face unlock in the mobile app are checked on the device by the operating system and never sent to us.
• Site analytics. Aggregate, cookieless page-view statistics on this marketing site, for every visitor. If you allow analytics cookies, we also use Google Analytics on this site and in the Proterate Team web app to learn which pages and channels lead to a signup. Those cookies are set on proterate.com, so a visit here and the signup that follows count as one journey; Google processes the data on our behalf. They stay off until you allow them, you can withdraw at any time from “Cookie settings” in the footer, and no advertising identifiers are collected. The TeamPro mobile app contains no analytics or advertising SDK.

Location is captured only at check-in

Location is read at the moment an employee checks in or checks out, and at no other time. Proterate Team does not run background location tracking, does not build route histories, and does not show a live map of where anyone is. Nothing is recorded between punches.

Retention and automatic deletion

Selfies and location data are deleted automatically on a fixed schedule enforced by our systems, not by manual cleanup:

• Free plan: 7 days from the check-in.
• Pro plan: 30 days from the check-in.

Once that window passes, the selfie file and the location data are permanently removed and cannot be recovered by us or by the employer. Account details are retained while the account is active. Employment records such as payslips, tax figures, and attendance history are kept for as long as the employer instructs or the law requires them to keep such records.

Who we share with

We do not sell personal data. Data is shared only with infrastructure providers that host and operate the service on our behalf (hosting, database, object storage, authentication, push notifications, email delivery, and payment processing), and only to the extent needed to run it. Within an employer’s account, a manager can see the check-ins of their own direct reports, and an administrator can see their company’s records.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or restrict processing of your personal data, and to withdraw consent. Security

Data is transmitted over encrypted connections and access is restricted by role. No system is perfectly secure, but we limit exposure by keeping the sensitive data — selfies and location — for as short a time as the product allows.
