One number, not four

The ledger is the stock count. Nothing else is.

A spreadsheet lets three people type over each other and leaves no trace of who was right. Proterate Stock never lets you type a balance at all: a receipt, a sale, a transfer, a count adjustment — each writes an immutable row, and the level you see is the sum of those rows. When a number looks wrong you open the stock card and read the movements that made it, with the document, the user, and the timestamp on each one.

Nobody receives a delivery holding a laptop. The warehouse side of Proterate Stock is a scan-first app for Android and iOS: scan a barcode to receive against a purchase order, count a bay without seeing the expected figure, pick a trolley of orders, and pack with a scan gun that refuses an over-scan on the spot. It writes to the phone before it touches the network, so a bay with one bar of signal still works and nothing is posted twice when it reconnects.

    Import what you already have

    Upload your product spreadsheet. The wizard maps your columns, reports the rows it could not read, and lets you undo the whole import if the file was wrong.

    Count once, print barcodes

    Do one opening count to set your balances, then print labels for anything that does not have a barcode. This is the only full count you should ever need.

What Proterate Stock does not do: it is not accounting software, a POS, or a courier network. It keeps the stock and cost records straight and exports them to Express, PEAK, FlowAccount, or your accountant’s tool of choice.

Frequently asked

Does it sync automatically with Shopee, Lazada, and TikTok Shop?

Not yet, and we would rather say so than let you find out. Today you export orders from each seller centre and import the CSV — one file per channel, into one order queue and one stock ledger. Official marketplace API integrations are the next major phase; approval from each marketplace takes months, and we did not want to hold the rest of the product behind it.

Do my warehouse staff need the phone app?

No. Every flow — receiving, counting, transfers, picking, packing — also exists in the browser, so you can run the whole product from a desk. The phone app exists because receiving a delivery and counting a bay are done standing up, and it is faster there. It is in internal testing now rather than on the app stores.

What does my accountant get out of it?

Stock valuation and COGS reports that reconcile to the ledger, exportable to XLSX, plus movement and ageing reports. Proterate Stock is not double-entry accounting — it produces the stock and cost side cleanly so it can be handed to Express, PEAK, FlowAccount, or Xero without a month-end round of screenshots.

Can I stop staff from seeing what things cost?

Yes. Cost is permission-scoped, and reports and exports redact cost columns for roles that do not have it. A packer sees quantities and locations; they do not see your margin.

What happens to the spreadsheet I already have?

It goes in through the import wizard — products, variants, opening stock, suppliers, and customers. The wizard shows you exactly which rows it could not read before anything is committed, and the whole import can be undone. Keep the file as a backup for a month; you will stop opening it.

Is my data separated from other businesses?

Every record carries the company that owns it, and that separation is enforced in the database itself with row-level security rather than only in application code. An account can only ever read its own company’s rows.
