Proterate Stock is an inventory and stock management product for businesses. This policy explains what we collect, how long we keep it, and how it is deleted. It covers this marketing site and the Proterate Stock application, including its warehouse app for Android and iOS.

Who is responsible for your data

When a business uses Proterate Stock, that business is the data controller for everything it puts into its account — its staff accounts, its supplier contacts, and the customer details attached to its orders. Proterate acts as the data processor and handles those records on the business’s instructions. If you bought something from a seller and want the delivery details they hold about you corrected or removed, contact that seller: we cannot alter their records for them.

What we collect

  • Account details. Name, email, business name, role, and plan, provided when an account is created or a user is invited.
  • Business records. Products, stock levels and movements, costs, purchase orders, suppliers, orders, and shipments — the working data of the business. Most of this is not personal data at all.
  • Contact records the business uploads. Supplier and customer names, phone numbers, email addresses, and delivery addresses, whether typed in or imported from a spreadsheet or a marketplace order export.
  • Activity records. Who did what and when — the audit log and the stock ledger both record the acting user, because the product’s whole purpose is being able to answer that question later.
  • Site analytics. Aggregate, cookieless page-view statistics on this marketing site. No personal profiles, no cross-site tracking, no advertising identifiers.

What the warehouse app collects

The Android and iOS app uses the camera to read barcodes. Frames are processed on the device to decode the barcode and are not stored or uploaded — no photograph of your warehouse leaves the phone. Scans and counts are stored on the device until they are posted, so the app keeps working without a signal. The app does not collect location.

Retention

Business records are retained for as long as the account is active. We do not delete them on a timer: the stock ledger is an audit record, and a valuation or COGS report that silently lost rows would be worse than useless. Records can be archived or deleted from within the account, and when an account is closed its data is deleted after a short grace period during which it can still be exported. Note that stock movements are immutable by design — a mistake is corrected by a reversing entry, which leaves both rows visible rather than erasing the first.

Who we share with

We do not sell personal data. Data is shared only with infrastructure providers that host and operate the service on our behalf (hosting, database, object storage, email delivery, and error monitoring), and only to the extent needed to run it. If you connect an integration or export data to your accountant’s software, that destination is your responsibility.

Separation between businesses

Every record carries the company that owns it, and that separation is enforced in the database with row-level security rather than only in application code. One business’s account cannot read another’s rows, and we do not use one business’s data to inform another’s reports.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or restrict processing of your personal data, and to withdraw consent. If your data is in a seller’s account — as a supplier contact or a delivery recipient — raise it with that seller, since they control those records. Security

Data is transmitted over encrypted connections, access within an account is restricted by permission — cost figures are hidden from roles that do not have them — and sessions on the warehouse app are held in the device’s Keychain or Keystore. No system is perfectly secure, and we will tell affected businesses promptly if that ever proves true here.
